Accident Reporting

All general accidents that occur on any 3pks camp are recorded on an Accident Report Form, which is signed by the parent/guardian on collection of their child. In the case of a more serious accident, the parent/guardian will be contacted immediately during the day, and the accident will be reportable to both Ofsted and environmental health, under the RIDDOR Act 1995.

Allegations Against Staff

If an allegation is made against a member of staff with reference to a child protection concern, by either a member of the public or colleague, Ofsted will be notified of the allegation immediately. A formal record of the allegation will be completed in writing and signed and witnessed by a senior 3pks Manager. The member of staff in question will be informed of the allegation, the process, and potential consequences, and notified that a referral must be made. The member of staff in question will then be suspended from their duties in writing, pending investigation.

Behaviour

3pks create an environment that encourages good behaviour. Staff handling of behaviour is consistent and developmentally appropriate, respecting individual children’s level of understanding and maturity. In the event of unacceptable behaviour, 3pks staff will action a five-step plan that, in the event of 1-3 being unsuccessful, may result in the child being excluded from camp for one session, or in extreme cases, indefinitely. 3pks staff do not use any form of physical intervention, e.g. holding, unless it is necessary to prevent personal injury to the child, other children, an adult, or serious damage to property. Any incident is recorded on an Incident Report Form, and the parent will be informed of the incident on the day. Physical punishments, including smacking, or threats of them are not used.

Bullying

3pks recognise bullying to be where an individual or group feels threatened, hurt or put under stress by the actions of another person or group, be those actions wilful, conscious or unconscious. All 3pks instructors take responsibility for bullying; if they see a bullying action they will follow our clearly defined procedure, complete an Incident Report Form and inform both sets of parents of the incident and outcome.

Care-Play Policy

The nature of the activities and play opportunities within 3pks programmes enable children to develop emotionally, physically, socially and intellectually. 3pks staff, listen and value what children say, they talk with them about what they are doing and have high expectations of what they can achieve.

Child Protection

The protection of the child is 3pks first priority. 3pks ensures that all staff are aware of possible symptoms of children at risk. If a member of the 3pks team, or any parent/guardian has any concerns about a child, or suspicions of abuse, they should immediately report their concerns to the Camp Leader or Managing Director. The Managing Director will seek an explanation from the parent of the child, in a non- threatening manner. A written record will be dated and confidentially filed. If it is felt necessary, the Managing Director or parent/ guardian should take the matter further, by seeking advice from the Local Area Child Protection Committee.

Complaints

Any complaint should be made to the camp leader, who will complete a report, and do everything possible to ensure the complaint is dealt with as quickly and effectively as possible. If the complainant feels that the outcome of the complaint is insufficient, or would like to take the grievance further, the complaint should be made in writing to: Mr Ray Taylor, Managing Director, Three Peaks Outdoor Pursuits, Barfield School, Runfold, Farnham, Surrey, GU10 1PB. If, after following the 3pks complaints procedure, the complainant is not 100% satisfied with the outcome, they may contact the Ofsted Early Years Complaints Helpline, on 0845 601 4772, or write to their Regional Office, details of which can be found by visiting www.ofsted.gov.uk/contactus.

Data Protection

3pks are registered with the Data Protection Agency. The Data Protection Act requires us to advise you that particulars are held on our customer database. We may from time to time use these details to send you information that we think may be of interest to you. This information will not be made available to any other party except in accordance with your instruction. Records, policies and procedures that are required for the efficient and safe management of the provision, and to promote the welfare, care and learning of children, are maintained. Records about individual children are shared with the child’s parent.

First Aid

There is a camp first aid box, complying with the Health and Safety (first Aid) Regulations 1981, the contents of which are checked frequently and replaced as necessary by a designated member of staff. It is kept in an accessible place out of reach of children. Written parental permission is requested at the time of booking, for the administration of any necessary emergency medical advice or treatment in the future. Each assigned group leader will also carry a first aid kit at all times.

Lost Child

In the event of a lost child, whilst in the care of 3pks, the camp leader will immediately contact the first number highlighted on the child’s registration form. In the event of this number being unavailable, all other contact numbers will be dialled. It is 3pks policy to contact both Ofsted and the police.

Non-Collection of Child

In the situation where a child has not been collected by 4pm (activity Day booking) or 6pm (Late Stay booking), the 3pks camp leader will call the first contact number detailed on the child’s registration form. Should the camp Leader be unable to make contact with any of the parents/guardians highlighted on the registration form they will contact the police.

Refunds

It is not 3pks policy to issue cash refunds. However, we do understand that occasionally your plans may change, and if we are notified of changes at least 7 days prior to the booking date we will issue credit vouchers, which may be used as payment towards future holidays, term time activities and parties. Credit notes will not be issued for bookings cancelled less than 7 days before the booking date, as we will be unable to make these places available to other parents. Deposits paid are non-refundable.

Registration

3pks have a system for registering child and staff attendance on a daily basis, showing times of arrival and departure. The parent/guardian responsible for dropping off or picking up children registered on the camp, is required to sign them in and out at the booking in desk.

Safety

3pks takes positive steps to promote safety within every activity camp and ensures precautions are taken to prevent accidents. 3pks conducts a risk assessment of every facility it operates activities from prior to the commencement of the day, and has a clearly defined procedure for emergency evacuation of the camp. Children are not allowed to leave the premises, or outside play areas in which 3pks operates activities, under any circumstances, unsupervised. 3pks have full Public Liability Insurance, and a certificate is clearly displayed at each camp.

Special Needs

3pks welcome children with special needs where we can offer appropriate care within our staffing ratio. The physical environment of all our 3pks camps is, as far as is reasonable, suitable for children with physical disabilities, however, we remain realistic about the limitations of the camp environment; thus attendance will be considered on an individual basis at the discretion of our Bookings Manager.
